POSITION: 

 

Financial Secretary 4 - School Based (12-Month)

 

 

LOCATION:

 

Huntingtown High School

 

 

POSITION SUMMARY:

 

Under general supervision, performs secretarial and clerical duties in support of the financial activities and processes at the school. Employee typically serves as the primary support staff assigned to handle financial matters and reports to the school principal.  The work requires knowledge of office and financial procedures, processes, rules, and regulations and the ability to explain these to others.  Work efforts result in accurate and reliable financial data, processes, and transactions. Employees are responsible for monitoring and maintaining important financial information and records for the school. Employees are also responsible for safeguarding money collected.

EDUCATION, CERTIFICATION, AND EXPERIENCE:

At the time of application, the candidate must hold or be eligible for:  

  1. High school diploma or general education development (GED) program certificate
  2. Business education training with secretarial experience desirable
  3. Ability to meet the clerical testing requirements for a financial secretary position given by Calvert County Public Schools

 

 

KNOWLEDGE, ABILITIES, AND SKILLS:

  1. Knowledge of modern office procedures, systems, and equipment
  2. Ability to maintain complex paper and electronic financial records, prepare reports, and answer questions from records
  3. Ability to exercise judgment and discretion when making decisions based on established policies and procedures
  4. Basic working knowledge of various software programs to prepare and edit school documents
  5. Skill in accessing and entering data into databases
  6. Possesses interpersonal skills and knowledge of office protocol
  7. Experience collecting, depositing, and accounting for money
  8. Such alternatives to the above qualifications as the Calvert County Public Schools may find appropriate and acceptable
  9. Demonstrates success in accomplishing tasks akin to those responsibilities listed below

 

ESSENTIAL JOB FUNCTIONS, DUTIES & RESPONSIBILITIES:

  1. Complies with Calvert County Public Schools’ policies and procedures regarding student activities fund and financial records
  2. Processes all financial information related to student activity funds
  3. Maintains student activity fund
  4. Monitors the school’s annual allocation of the adopted Calvert County Public Schools’ budget
  5. Collects money and prepares receipts; prepares monies received with appropriate documentation; and deposits money at the bank
  6. Records deposit information into appropriate accounts and reconciles monthly bank statements with account records
  7. Maintains and establishes paper and electronic school financial files
  8. Enters and accesses data in financial records, spreadsheets, and program; generates reports as required
  9. Reviews invoices, contracts, and receipts for accuracy; initiates payment of invoices; prepares checks and records information in bookkeeping software
  10. Monitors school fundraisers, maintains related records, and resolves operational problems associated with fundraising
  11. Works closely with the principal to ensure all financial policies and procedures are properly followed
  12. Answers and places telephone calls
  13. Operates office machines
  14. Thinks, concentrates, and interacts positively with others
  15. Comes to work regularly and promptly
  16. Works under stress and meets all deadlines

PHYSICAL DEMANDS:

 

Work is performed in a typical office environment and may require minimal lifting.

TERMS OF EMPLOYMENT:

 

Twelve (12) month position and salary commensurate with qualifications applied to the current salary schedule for support employees (Scale 17). All employees are encouraged to have automatic payroll deposit.

 

 

FLSA STATUS:

 

Non-exempt

 

 

EVALUATION:

 

Performance will be evaluated in accordance with the policy on evaluation as established by the Calvert County Public Schools.

State law requires that anyone hired after October 1, 1986, who will have contact with school children, must be fingerprinted and submit to a criminal background investigation. Federal law requires that a new employee must complete the Employment Eligibility Verification (Form I-9) in person before beginning employment. Employment is conditional upon successful completion of a drug screen. Current employees of the Calvert County Public Schools are exempt from these requirements.
